This Privacy Policy describes how Bobbitt & Associates, LLC ("Bobbitt & Associates," "we," "us," or "our") collects, uses, stores, and shares information when you use the Quick Sign electronic signature platform (the "Service"). By using the Service, you acknowledge this Privacy Policy and our Terms & Conditions.

1. Information We Collect

Account information. Name, email address, organization name, role, authentication credentials, and billing-related identifiers when you register or are invited to an organization account.

Document and workflow data. Files you upload, signature field placements, signer contact details, signing status, templates, certificates of completion, audit logs, and related metadata necessary to operate signing workflows.

Usage and device data. Log data such as IP address, browser type, pages viewed, actions taken in the Service, and timestamps used for security, troubleshooting, and product improvement. On our public marketing pages (such as the home, features, pricing, and legal pages), we also use Google Analytics 4 to collect aggregated usage information about how visitors interact with those pages.

Payment-related data.Subscription status, plan selections, and billing history. Payment card and bank account details are collected directly by our third-party payment processors; Quick Sign and Bobbitt & Associates, LLC do not store or have access to your full payment account information.

Communications. Support requests, sales inquiries, and email delivery records related to document notifications and account messages.

2. How We Use Information

We use collected information to:

  • Provide, maintain, and improve the Service;
  • Authenticate users and enforce account security, including multi-factor authentication;
  • Process documents, deliver signing invitations, and generate audit records;
  • Manage subscriptions, usage limits, and billing through third-party processors;
  • Send service-related notices, including retention and account notifications;
  • Detect, prevent, and respond to fraud, abuse, and security incidents;
  • Measure and improve our public marketing website through aggregated analytics;
  • Comply with legal obligations and enforce our Terms & Conditions.

4. How We Share Information

We share information with third-party service providers that host, operate, or support the Service, including cloud infrastructure, email delivery, payment processing, analytics vendors, and security vendors. On our public marketing pages, Google Analytics helps us understand site traffic and page performance. Google may process information according to its own privacy policy. These providers process data on our behalf under contractual obligations appropriate to their role.

We may disclose information when required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale, subject to applicable notice requirements.

We do not sell personal information.

5. Data Storage and Location

Customer data processed through the Service is currently stored and domiciled within the United States only. If your organization requires data storage or processing in other jurisdictions, a custom plan or enterprise agreement is required.

6. Data Retention

We retain account and document data for as long as your account is active and as needed to provide the Service. Completed documents are retained according to your plan's maximum retention period and your organization's configured retention settings, after which they may be deleted following email notice and a grace period.

When an organization requests account deletion, associated data is removed according to our operational procedures. You are responsible for exporting records you need before deletion. See our Terms & Conditions for additional details on account deletion.

We may retain limited information longer where required for legal, security, audit, or billing purposes.

7. Security

We implement administrative, technical, and organizational measures designed to protect information processed through the Service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of your personal information. Organization administrators may manage certain settings on behalf of their users. Contact us to submit a privacy request.

You may opt out of non-essential marketing emails using unsubscribe links where provided. Service-related transactional messages may still be sent.

9. Cookies and Similar Technologies

We use cookies and similar technologies to operate the Service, keep accounts secure, and understand how our public marketing website is used.

Essential cookies. When you sign in or use authenticated areas of Quick Sign, we use cookies and similar technologies for authentication, session management, and security. These cookies are necessary for the Service to function.

Analytics cookies on marketing pages. On our public marketing pages only (such as the home, features, pricing, enterprise inquiry, and legal pages), we use Google Analytics 4 (measurement ID G-2RJGCLJXYS) to collect aggregated information such as pages viewed, approximate location derived from IP address, browser and device characteristics, and referral sources. We do not load Google Analytics in the authenticated application after you sign in.

When you first visit a marketing page where analytics is enabled, we display a cookie notice describing this use. You can control cookies through your browser settings. You may also install Google's browser add-on to opt out of Google Analytics at tools.google.com/dlpage/gaoptout. Disabling certain cookies may affect Service functionality, especially essential authentication cookies.

10. Children

The Service is not directed to individuals under 18 years of age, and we do not knowingly collect personal information from children.

11. International Users

If you access the Service from outside the United States, you acknowledge that information will be processed in the United States unless a custom data arrangement applies to your organization.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service, by email, or by updating the "Last updated" date above. Continued use after changes become effective constitutes acknowledgment of the revised policy.
